What’s inside

  • Meeting details — title, date, time, location or online link, chair and minute-taker.
  • Objective, attendees and apologies — with an attendee table for names, roles and external organisations.
  • Agenda, discussion and decisions — a short block per agenda item to record what was discussed and decided.
  • Action items — a table with action, owner, due date and status.
  • Follow-up — review date, next meeting, prepared by and approved by, plus a one-page guide you delete before sharing.

How to use it

  1. Before the meeting. Fill in the details, attendees and agenda.
  2. During the meeting. Note decisions and actions as they are agreed — not every word.
  3. After the meeting. Tidy the notes, ask the chair to approve them, and circulate a PDF soon after.
  4. Next time. Start the next meeting by reviewing the open actions.

Write actions people can act on

Vague

Look into overdue receivables.

Clear

Send reminder letters to all customers more than 60 days overdue. Owner: [Name]. Due: [date].

Every action needs one named owner and a due date — “the team” is not an owner.

Frequently asked questions

What should meeting minutes include?

The date, attendees, the main points discussed, the decisions made and the actions agreed, with an owner and due date for each.

Are minutes a word-for-word record?

No. Good minutes are a short, factual summary focused on decisions and actions, not a transcript.

Who should take the minutes?

Someone other than the chair, so the chair can lead the discussion. The chair then checks and approves the minutes.

How soon should minutes be shared?

As soon as possible after the meeting, while details are fresh — ideally within a day or two.

Can I edit it in Google Docs?

The template is designed and tested for Microsoft Word. It can be opened in other word processors, but some formatting may look slightly different.
